ROLE OUTLINE AND EXPECTATIONS

The Junior Account Manager will play a vital role in helping to shape the future development of the studio as Made Thought moves forward into its next phase of growth in New York. You will be focussed on supporting the Account Director, helping from an operational perspective with studio and project management to contribute to delivering the best creative solutions across a designated portfolio of clients in the most efficient way for the Studio. You must be creatively minded and understand how to carefully balance the flexibility required of a business with creativity at its core, alongside the rigour and strong organisational skills which Made Thought’s clients expect.


RESPONSIBILITIES

— Provide exemplary project administration overall, working closely with and supporting the Client Services team with the operational day-to-day of their assigned clients and projects, e.g., Creating SOWs, finance reports, billing submissions and 3rd party costs, monitoring internal daily deadlines.

— Leading project set up and management, e.g. creating slack channels, preparing agendas, supporting internal file management, timeline updates, chasing internal timesheets, proofreading presentations, final asset delivery to clients.

— Attend client meetings where required, taking accurate notes for internal actions and next steps for clients. You will proactively work with the Account Director on the completion of said actions with the team.

— Work closely with the Account Director and Resource Manager to ensure all information in the Resource Planner is accurate, making suggestions where relevant.

— Manage diaries, arranging and setting up client meetings and internal meetings, ensuring all details are correct in the meeting invite.

— Ensuring systems are up to date with correct figures and timings for current projects, potential work and pitch budgets e.g. creating quoting templates, estimate creation etc.

— Keep track of spending on company cards and payments across the studio, ensuring receipts are documented and filed.

— Manage and coordinate all studio travel arrangements (for staff & clients as required). Liaise with travel agents and create itinerary packs for all travel needs, reporting travel costs to the internal finance team.

— Support in the day-to-day management of the studio, e.g. ensuring all guests and clients are greeted and guided to the appropriate space, purchasing office supplies, arranging lunch, managing all incoming and outgoing post and packages.

— Support on running Made Thought’s Culture Club, helping plan all staff and client events and Studio’s social calendar, ensuring all events contribute toward a positive working environment and culture

— Contribute ways to improve processes and working practices within the team.


SKILLS & EXPERIENCE

— Account management/project management/studio management background, with circa 1 years’ experience working within a creative studio or advertising agency environment.

— Be highly collaborative, approachable and communicative - these skills will be key, adapting to varying client personalities and internal teams.

— Accuracy, attention to detail and quality shown in all work presented.

— Ability to cope under pressure, always maintaining a calm and professional manner

— Have the ability to balance reactive and proactive workloads identifying problems and escalating problems internally.

— Excellent organisational skills and adept in multi-tasking.

— Experienced in Google Suite is a must.

— Enthusiastic, confident and personable style.

— Must have an interest in design, arts, architecture or fashion.


The salary band for this role is $70-85k.
